GENERAL TERMS AND CONDITIONS GAMEFAIR BELGIUM – EXHIBITORS
ARTICLE 1. Applicability
These general terms and conditions apply to all agreements between Gamefair Belgium and exhibitors participating in the event.
ARTICLE 2. Changes and Cancellation by Organization
- The organization reserves the right to change the exhibition dates and/or opening hours or to cancel the exhibition due to force majeure or other extraordinary circumstances.
- In case of cancellation, the participation fees already paid will be refunded, minus the costs incurred. There is no right to further compensation.
ARTICLE 3. Registration and Participation
- The organization reserves the right to refuse registrations without giving reasons.
- A registration is binding and cannot be withdrawn unilaterally by the exhibitor.
ARTICLE 4. Stand space and layout
- The organization determines the location and dimensions of the stand space. The allocation is binding.
- Exchanging, subletting or transferring stand space is not permitted without written permission from the organisation.
ARTICLE 5. Payment terms
- Upon registration, 25% of the total rental amount will be invoiced, to be paid within 14 days.
- The remaining amount must be paid no later than 2 months before the event.
- Registrations within 2 months prior to the event will be invoiced in full and immediately due.
- In case of late payment, the organization may refuse access to the fair without refund.
- Overdue payments will be increased by 1% interest per month and any collection costs will be borne by the exhibitor.
ARTICLE 6. Liability
- Exhibitors are fully liable for any damage caused to persons, property or the organization through their actions or negligence.
- The organization is not liable for damage, loss or theft of property of the exhibitor.
- Exhibitors are required to take out liability insurance that covers damage caused by themselves, their staff or their materials.
- The exhibitor indemnifies the organization against all claims for damages from third parties as a result of participation in the event.
ARTICLE 7. Insurance
- All goods and personal belongings of the exhibitor are and remain at the exhibitor’s own risk.
- The exhibitor is obliged to take out insurance against damage, loss and theft of own materials and goods.
ARTICLE 8. Safety and Regulations
- Exhibitors must comply with all safety regulations and instructions of the organization and competent authorities.
- Stand design may not pose a danger to visitors, other stand holders or the location.
- The exhibitor indemnifies the organization against claims for damages resulting from non-compliance with safety regulations.
ARTICLE 9. Construction and Dismantling
- Construction and dismantling must take place within the specified time limits.
- Exhibitors are responsible for tidying up and leaving their stand space clean.
- In the event of late evacuation, any clean-up and storage costs will be recovered from the exhibitor.
ARTICLE 10. Advertising and Promotion
- Advertising outside of your own stand space is not permitted without prior written permission from the organization.
- Annoying advertising, loud music or disruptive promotional activities are not permitted.
ARTICLE 11. Exclusivity
- No exclusivity is guaranteed for any products, brands or services.
ARTICLE 12. Force Majeure
- The organization is not liable for the total or partial cancellation of the event as a result of force majeure, including, but not limited to, extreme weather conditions, pandemics, government measures or other unforeseen circumstances.
ARTICLE 13. General
- By signing the registration form, the exhibitor agrees to these conditions and undertakes to comply with them.
- The organization reserves the right to remove exhibitors who violate these conditions from the event without refund.
By participating in Gamefair Belgium, the exhibitor declares that he/she has taken note of and agrees to these conditions.
